Outlook® 2000/2003/2007 Tips, Tricks and Shortcuts:
  • Houseclean your email: Use the Archive Tool found in Tools/Options/Other/AutoArchive, or the Mailbox Cleanup Tool (found also in the Tools menu) to make quick work of obsolete and out-of-date emails.   • One of the most versatile programs on our computer, Outlook® is also one of the most misunderstood!

  • Unblock attachments in Outlook® 2007:
    CAUTION! This Outlook® registry hack removes default blanket protection from potentially dangerous attachments! Use with care and follow all advice on backing up your registry before making changes. Only open attachments that you expect and only from trusted sources! Nuff said... here's the hack.
  • Keep Records with the Outlook® 2007 Journal
    The Journal in Outlook® 2007 can be enormously helpful, whether you choose to use it regularly or rarely. You don't have to limit yourself to recording documents or Outlook® items. You can keep track of conversations, customer inquiries, or any other transaction in which chronology matters. If you set the Journal for automatic entries, you can ignore it until you need to see what it recorded. You can also play starship captain and record everything you do.   • Transfer, back-up, import or export your .pst data files in Outlook® 2007, 2003 and 2002.
    Tips and step-by-step instructions for managing your .pst files can be found at http://support.microsoft.com/kb/287070.  

  • Protect sensitive data: restrict email forwarding, copying, and printing: When composing, go to File/Permission/Do Not Forward.


  • Use Keyboard Shortcuts to speed your work:
    • Ctrl+1,2,3,4,5 will display Mail, Calendar, contacts, Tasks, and Notes.
    • Ctrl-N creates a new message.
    • Ctrl-S sends your message.
    • Ctrl-R replies to a message. (Ctrl-Shift-R replies to all)
    • Ctrl-F forwards
    • Ctrl-D deletes.

  • Print your email attachment along with your email message.

  • Change the Open-To option when launching Outlook-
    o Tools/Options/Other/Advanced Options/Startup in this folder- Inbox
  • Change picture downloading ability-
    o Tools/Options/Security/Download Pictures/Change Automatic Picture Download Settings
    o Note: Read the cautions carefully. Removing restrictions improperly could expose you to more junk mail and other security risks.
