How to Check Your (fixed IP address) Printer's Port Settings

A networked printer (printer not connected directly to a computer) probably has a unique IP address and that IP address often determines the port through which your computer will connect to it. Typically in a server-based environment, the server "pushes' the printer settings out to the client computers, so this would not be an issue. In a peer-to-peer environment, (no server), each computer is responsible for connecting to the printer(s) to which it needs access.

Since every printer interface is a bit different, I won't go into the particulars of finding the IP address of a given printer here. The assumption is that either you know the IP address of the printer, or you know how to get it from the control panel on the printer. Check the printer's manual for instructions on obtaining or setting the printer's IP address.

An easier way to discover the IP address (if you're lucky) is to copy the settings from someone in your office who is successfully connected to the same printer over the network. To do this, follow these steps:

  1. Open that person's printer folder (located in the Control Panel in their Start menu (Windows XP).
  2. Right-click on the printer in question, select Properties and then select the Ports tab:

  3. Note the IP address of that particular printer. (In this example, it is 192.168.1.50). You'll use the same port on your computer.
  4. Open the same window and tab on your computer, designate the port with that IP address or click Add Port if the correct port doesn't already exist.

Here are the steps for adding a new port:

  1. Choose Standard TCP/IP Port, then press New Port.

  2. Enter the printer's IP address in the Printer Name or IP Address box (be sure the printer is turned on) press Next -

  3. If the printer is recognized by Windows, the correct printer will be listed in the Device Type box, if not, you'll get the message Generic Network Card and you'll have to choose the type you want from the drop-down list:

  4. The correct printer will appear in the dialog box. In some cases you may be prompted for the installation CD or the printer drivers.
  5. Press next or OK to complete the installation.
